New features

IMAP for Gmail

The Gmail team is thrilled to announce the launch of IMAP support for Gmail, which lets you use your Google Apps email at work, in your car, or just about anywhere, on any device, while keeping information synced across all devices so that whatever you do in one place shows up everywhere else you might access your email. Instead of using POP, which isn’t able to sync changes made made on other devices with your online email, now you can configure IMAP for your account and enjoy the improved experience.

Google Docs for Mobile

If you have an iPhone, Blackberry, or Windows Mobile device, now you can point your phone’s browser to http://docs.google.com/a/w757.com/m to view read-only, mobile-optimized versions of your docs and spreadsheets. (Your presentations, too, if you have an iPhone; we’ll be making this feature available for other devices shortly.) You might have to squint a little, but now your information will always be right there, in your pocket, wherever you go.

Spreadsheet feature updates

Now you can format spreadsheet cells based on rules. For example, you might choose to highlight past-due tasks by causing cells to turn red if they contain a date prior to today’s date. This feature gives you an excellent way to get an overview of the current state of complex or frequently changing spreadsheets. And because it’s always nice to eliminate clutter, we’ve also (finally) introduced a way of hiding (and unhiding) rows and columns.

New features for Premier and Education Editions

  • Policy management and message recovery by Postini (Premier Edition)With our recent acquisition of Postini, we’re putting more security and compliance controls into the hands of administrators. Policy management lets administrators implement rules for how messages are handled based on messages’ sender, recipient, attachments, or content. Message recovery allows administrators to search for mail across their entire domain and recover deleted emails on a 90-day rolling basis. Premier Edition administrators can activate these new features at no additional cost from the Google Apps control panel.
  • More Gmail storage (Premier Edition and Education Editions)All Premier Edition users now have 25 gigabytes of email storage, up from 10 gigabytes. Education Edition users now have 4.55 gigabytes of storage, and growing!
  • Email routing (Premier and Education Editions)Email routing allows organizations to run Google Apps alongside another email solution. With email routing, it’s simple for administrators to run a pilot Google Apps program without turning off their existing email system, migrate just a subset of users to Google Apps, or segregate groups of users with special needs to a separate email solution. Premier and Education Edition administrators can configure email routing from the Google Apps control panel.

Setup tips

Haven’t finished setting up Google Apps for your organization yet? No need to procrastinate — it’s easy. To learn how to set up and deploy Google Apps, visit our getting started resource center for tips and instructions.

Step 1: Sign in to the administrative control panel. Here, you can manage your user accounts and customize Google Apps. Visit http://www.google.com/a/w757.com to access the control panel.

Step 2: Verify domain ownership. Before we can fully activate your services, you’ll need to verify ownership of your domain. You can do so from the control panel, either by uploading an HTML file or creating a special CNAME record. Verifying ownership of your domain does not cause any change to your existing services. (Note: If you purchased your domain through Google Apps, you can skip this step.)

Step 3: Customize Google Apps with the look and feel of your organization. From the control panel, you can brand your applications with your logo, configure the Start Page for your organization, customize the internet addresses where your users sign in, and more.

Step 4: Create user accounts for your organization. From the control panel, you can set up user accounts one by one, or use the bulk account update tool to make batches of changes from a spreadsheet file.

Step 5: Turn on email by updating the Mail Exchange (MX) records for your domain. Once you configure your MX records, it can take up to 48 hours until your users can send and receive email with Google Apps. (Note: If you don’t plan to use the email component of Google Apps, or if you purchased your domain through Google Apps, you can skip this step.)

Step 6: Help your users get started by:

  • Notifying them of the change to Google Apps and giving them the usernames and passwords that you’ve created.
  • Directing them to the sign-in pages for your applications, which you can find in the control panel.
  • Sharing helpful tips, tricks, and suggestions.
